Welcome to the world of Novaflame Realms! By attending any of our immersive experiences—including fantasy balls, magical brunches, or themed retreats—you agree to the following terms. These rules help ensure every guest enjoys a safe, fair, and enchanting event.

1. Tickets & Admission
• Tickets must be purchased through our official website or authorised partners.
• Each customer is limited to 6 tickets per event.
• Tickets are non-refundable, except as outlined in the Cancellation section below.
• Proof of age may be required (events are usually 18+ unless stated otherwise). We reserve the right to refuse entry without suitable ID.
• Confirmation emails serve as your official entry pass.
Transferring Tickets:
Tickets may be transferred to another person if we are notified at least 7 days before the event. To transfer:
1. Email info@Novaflame.co.uk with the new attendee’s details and ticket reference, cc’ing the new attendee.
2. The new attendee must confirm via email that they accept the ticket.
3. We will confirm the transfer by email once complete.

2. Cancellation Policy
Guest Cancellations:
• Refunds are not available for cancellations by guests.
• Tickets may be transferred to another person if the event is not sold out, provided you contact us 7+ days before the event.
• No refunds or transfers are available within 14 days of the event.
Event Changes by Novaflame Realms:
If we cancel or reschedule an event, you will be offered:
• A full refund, or
• Transfer to the rescheduled event, or
• Credit for a future Novaflame Realms experience
Please note that we are not responsible for travel or accommodation costs incurred due to cancellations or rescheduling.

3. Code of Conduct
To maintain a welcoming, magical environment:
• Treat all attendees, staff, and performers with respect.
• Harassment, discrimination, or aggressive behaviour will result in immediate removal, with no refund.
• Costumes are welcome but must not include real weapons, dangerous materials, or offensive symbols.
• Follow all venue rules, including restricted areas.

4. Health & Safety
• Look after your personal belongings and take care of your own safety.
• Alert staff if you feel unwell, unsafe, or require assistance.
• Some venues may include uneven terrain, low lighting, or other immersive features—please plan accordingly.
• We will comply with any public health guidance in place at the time of the event (e.g., COVID-19 measures).
• Notify us of allergies, mobility needs, or health conditions at the time of booking to ensure we can accommodate.

5. Photography & Media
• Photos and videos may be taken during events for promotional use.
• If you prefer not to appear in promotional material, inform us in advance or on the day of the event, and we will do our best to accommodate.

6. Data & Privacy
• We only collect the personal information needed to operate the event (e.g., name, contact details, dietary requirements).
• Your data is securely stored and never sold.
• We may share minimal information with third-party service providers (e.g., check-in software, caterers) under strict confidentiality.

7. Accessibility & Special Requirements
• We strive to make events accessible. Check individual event listings for venue-specific access info.
• Contact us before booking if you require special assistance to ensure we can accommodate your needs.

8. Force Majeure
Novaflame Realms is not responsible for cancellations or interruptions caused by circumstances beyond our control, including extreme weather, government restrictions, or unforeseen events. In such cases, refunds or event transfers will be offered where possible.
